Company Policies

Mipos employment policies — probation, working hours, leave, salary, and more

Company Policies | 公司政策

Probation & Confirmation | 试用及转正

  1. The probation period is 3 months. Upon completion, employees are converted to permanent status.
  2. During probation, either employer or employee may terminate employment with 1 week's written notice.
  3. Probationary employees are not entitled to company benefits, except sick leave.

Retirement | 退休

  1. The mandatory retirement age is 60 years old. The company will not arbitrarily dismiss employees aged 55–60, except for:
    • (a) Apprentices or probationary employees
    • (b) Part-time employees
  2. Retirement age is determined by the date of birth on the employee's national identity card.

Resignation & Termination | 离职或辞退

Employee-Initiated Resignation | 员工主动离职

  • (a) During probation: 1 week's written notice, approved by department manager.
  • (b) During contract period: Notice period based on length of service (see table below), approved by department manager.
  • (c) Improper resignation (failure to follow procedures/proper handover) will be treated as voluntary abandonment.

Company-Initiated Termination | 员工被动离职

  • (a) During probation: Company must provide 1 week's notice.
  • (b) Serious misconduct or legal violation: Company must provide 1 month's notice.

Working Hours | 工作时间

The company operates Monday to Saturday (5.5 days):

All employees follow these standard hours unless otherwise specified in their offer letter.

Attendance | 报到规定

  1. All employees must clock in/out using the electronic/fingerprint system — once when arriving, once when leaving. Proxy sign-ins are strictly prohibited; 2 offences = immediate dismissal.
  2. Late ≤ 10 min: Considered late; must make up the time by extending work hours.
  3. Late > 60 min: Considered seriously late; must provide a valid reason and make up the time. 3+ serious late arrivals per month may result in a warning letter or dismissal.
  4. Early departure (≥ 10 min early) without prior leave/business trip approval is considered early departure; must provide reason and make up the time.
  5. For personal reasons requiring late arrival or early departure, employees must notify and get approval from their department manager at least 1 day in advance.

Overtime | 加班

Employees should complete their duties within regular working hours. If overtime is necessary (after hours, rest days, or public holidays), a minimum of 1 full hour of extra work is required for it to count as overtime.

Salary & Compensation | 薪资制度与发放

  1. Salary is calculated based on position, duties, responsibilities, and experience.
  2. The company conducts annual salary reviews based on performance evaluations submitted by department heads, subject to management approval where necessary.
  3. Salaries and allowances for the previous month are paid before the 7th of each month.
  4. After statutory deductions (EPF, SOCSO), the net salary is deposited into the employee's bank account.
  5. Upon resignation, remaining paid annual leave can be converted to salary (calculated based on basic salary per day).

Social Insurance, EPF & Allowances | 社会保险、公积金、津贴与补贴

The company will deduct income tax, SOCSO, and EPF contributions from employee salaries as required by law.

Rewards | 奖励

  1. The company provides annual bonuses based on overall financial performance and individual employee performance.
  2. Employees who have worked less than 1 year will receive bonuses pro-rated by months worked.

Disciplinary Actions | 处分

  1. Being late or leaving early by more than 10 minutes without making up the time will result in a salary deduction (treated as personal leave).
  2. Violations of workplace conduct rules, company asset protection, or confidentiality obligations will result in a warning letter. After 3 offences, the employer may take disciplinary action or terminate employment.

Leave Policies | 假期种类和待遇

Sick Leave | 病假

Employees must present a medical certificate from a registered clinic or hospital upon return. Only certified sick leave qualifies as paid leave.

Bereavement Leave | 丧假

Employees who have worked for 1+ years are entitled to 2 days paid leave upon the death of an immediate family member.

Marriage Leave | 婚假

Employees who have worked for 1+ years are entitled to 3 days paid marriage leave.

Maternity Leave | 产假

All female employees are entitled to 60 consecutive days of paid maternity leave. Employees should notify their employer 2 months before the intended start date.

Paternity Leave | 陪产假

All male employees are entitled to 3 days paid paternity leave per childbirth.

Annual Leave | 年假

Employees who have completed 1+ years of service are entitled to paid annual leave based on length of service:

Actual entitlement is based on the offer letter. Additional days may follow base salary pro-rata calculations.

Public Holidays | 公共假期

The company observes 14 gazetted public holidays per year:

When a public holiday falls on a Sunday, the following Monday is automatically a replacement holiday.

Unpaid Leave | 无薪假

If annual leave is exhausted, employees may apply to their department manager for unpaid leave. Conditions:

  • Must consider workload and manpower availability
  • Cannot exceed 7 consecutive days
  • Maximum 15 days unpaid leave per year
  • Deducted from basic salary on a per-day basis

Leave Application Procedure | 请假程序与审批

  1. Employees must notify their department manager at least 7 days in advance.
  2. All sick leave must be accompanied by a registered doctor's medical certificate. Sick leave without valid documentation is treated as unpaid leave.
  3. Interns who have completed 12+ weeks are entitled to 2 days paid annual leave.
  4. Temporary or part-time employees are not entitled to any paid leave.

The company reserves the right to amend this handbook at any time. All changes will be communicated to employees.
